5 Invoice Mistakes Freelancers Make (and How to Avoid Them)

From vague line items to forgotten tax lines — the errors that quietly cost freelancers money.

Most freelancers learn invoicing by doing it wrong first. These are the five mistakes we see most often — and the one-line fix for each.

  • Vague descriptions. “Consulting — $2,000” invites questions. Write “Product strategy workshop, 2 days onsite — 2 × $1,000.”
  • No due date. An invoice without a due date has no definition of late. Always print one.
  • Sending Word or Excel files. They break layout, they get edited, they look amateur. Always send PDF.
  • Forgetting the tax line. If you are registered for VAT/GST, a missing tax line can void the invoice's validity. If you are not, state tax is not applicable.
  • No record keeping. The same invoice number twice, or gaps in the sequence, makes year-end accounting painful. Use a generator that numbers for you.

The common thread: professionalism is a system, not a mood. Set the fields once, reuse a template, and every invoice after that is consistent.
